BHS Clerical Assistant

FT/Monday - Friday

Hours: 8am - 4pm or 8:30am-4:30pm


General Responsibilities

The Clerical Assistant will report to Outpatient Office Manager and will provide clerical assistance to the managers/coordinators of the BHS program, complete general departmental duties, and provide front desk reception coverage for our Outpatient Center.


Basic Qualifications

Education/Training: Skill(s): A high school diploma or equivalent.

Experience: Minimum of two years of related office/reception experience is required.

Skill(s): Excellent written and oral communication skills; organizational and interpersonal skills; ability to multi-task and to work independently; problem solving ability; ability to facilitate effective team communication; sensitivity and ability to work effectively with families from various backgrounds and cultures; proficient in Microsoft programs; strong customer service skills


Standard Requirements

  1. Support the mission and values of Indian Creek Foundation.

  1. Satisfactory completion of post-offer pre-employment physical exam and drug test as required; Completion of criminal background check, child abuse clearance, and FBI clearance, with clearance approved; Valid driver's license with a clear three-year driving record.

  2. Cooperate and work together with all co-workers and team members.
  3. Use tactful, appropriate communications in sensitive and emotional situations.
  4. Follow up as appropriate with employees, Supervisor, Clinical Supervisors and/or BHS Director.
  5. Complete requirements for training, acceptable attendance, dress codes including personal hygiene, and other work duties as assigned.

  1. Demonstrate knowledge of HIPAA standards by protecting the confidentiality of individuals served.

  1. Ability to work flexible schedule as determined by program needs which may include some nights.

Essential Duties:

  1. Provides a welcoming environment in the receptionist area of the outpatient center
  2. Assists with maintaining clean and professional waiting area and office space
  3. Provides professional and courteous phone and customer service skills
  4. Communicates about case issues with direct supervisors as needed
  5. Schedules appointments in Electronic Health Record
  6. Confirms Outpatient appointments via phone 1-2 days prior to appointment
  7. Completes copying, scanning and filing for Outpatient
  8. Assist with enrollment and discharge procedures for Outpatient Services; maintains database for tracking purposes
  9. Fulfill administrative requirements for timely authorization of services, including the completion of all necessary documentation for submission to Magellan Behavioral Health to ensure uninterrupted services to IBHS group programs and ABA program.
  10. Track authorization packet submission dates/reauthorization dates to assigned caseload
  11. Coordination of Transnet Services for the therapeutic after school program
  12. Data entry tasks for the therapeutic after school program
  13. Assists with intaking new referral calls, and completion of intake paperwork
  14. Maintain accurate and complete files for each case, including up-to-date client information, active releases of information, and progress notes for all client communication/collaboration.
  15. Assist with enrollment and discharge procedures for IBHS programs; maintain database for tracking purposes
  16. Track school district calendars/closures to create the therapeutic after school program schedule
  17. Participate in monthly team meetings and monthly one-on-one meetings with supervisor
  18. Other administrative duties as needed

Other Duties

  1. Assist the office manager and program coordinators with various administrative tasks to support department operations as directed; may also be assigned special projects.
  2. Perform tasks which are supportive in nature to the essential functions of the job, but which may be altered or redesigned depending upon individual circumstances.
  3. Meet on-going training requirements
